Problem: as a
corporate or government entity, one of your critical core process is the
processing and filing of paper forms. Clients need to fill out and
return a wide variety of paper forms. These forms may then need to be
copied and stored. To retrieve them can take considerable work. One
estimate puts the cost of processing and storing a single paper form at
$350. Whenever a form changes, which can be quite often for some types,
all of the old forms must be discarded and new ones must be printed.
Creating backup copies, in case of fires and floods, can be cost
prohibitive. Information is usually duplicated across multiple forms,
forcing the client to fill out the same information over and over. If at
some later point, this information is attempted to be entered into a
computer system, issues of readability and data consistency/integrity
become a problem. The bottom line, paper forms are extremely inefficient
and costly to use.
Applying computer technology to this core process can yield tremendous
saving in terms of: cost, time, and overall operational efficiency.
The Solution: FORMATICA
FORMATICA provides a flexible object-oriented framework for the capture,
processing, and storage of forms. Paper forms are converted to their
electronic equivalent that look and print exactly like the original but
with all of the intelligence of their electronic counterparts. Forms are
cataloged in a searchable database that can be searched or browsed. All
interfaces to the system are web based allowing access via the Internet
or Intranet. After the information is entered on the form, it is then
submitted for processing. Validation of the data is done at both the
data entry and processing levels. It is here that the unique
object-oriented design of FORMATICA comes to bear.
At the heart of FORMATICA lies our I-STORE engine. This is a powerful
object-oriented metadata engine. It provides the intrinsic flexibility
to capture and process all of the complex requirements related to each
form. Nex software utilizes the I-STORE engine to define, process, and
store the complex, hierarchical information sets associated with the
forms. Information is never duplicated across forms, insuring
referential data integrity. Cascading updates and deletes insures that
when information is updated on one form it is also updated across all
other forms.
Hierarchical categorization allows FORMATICA to work with information as
it actually exists in the real world without the need to collapse the
data structures thus losing referential integrity. Advanced features
like pointers and user definable object classes makes I-STORE infinitely
extendable and almost omnipotent in its flexibility. After processing,
the information is then stored in regular a relational SQL database.
This provides the easy access to the data that SQL allows and the
stability of an established database system. This also means that any
reporting tool can also be used with FORMATICA.
In its basic configuration
FORMATICA provides the following features:
1.
2.
3.

Scanning and
converting of paper forms to e-form versions.
Searchable catalog of converted forms.
Data entry, validation, digital signatures, and printing of
e-forms.
Processing and routing of e-forms.
Storage and reporting subsystems.
Secure access to all forms and data with event logging.
Data backup, replication, and import/export.
Web base interface to all system functions. |
The basic FORMATICA system
can be enhanced via the following extensions:
Integration with our
INFO-MATRIX software
Integration with
existing software systems
Import/Export converters
CRM (Customer
Relationship Management) interface
designed specifically
for Internet clients.
NOTE: The FORMATICA
system is a generic forms processing framework that must be customized
for each individual implementation. This customization is included in
the implementation cost estimate for each project.
